What an AI chatbot actually does — and what it can't
Every other business owner in Serbia has asked themselves in the past year: 'do we need a chatbot?' Marketing sells it as a solution for everything — 24/7 support, automated sales, happier clients. Reality is more nuanced. A well-implemented AI chatbot can be an excellent tool. A poorly implemented one just frustrates clients and drives them to go where they get a real answer. The difference between these two scenarios isn't in the technology — it's in the preparation.
A chatbot clearly delivers return on investment in a few scenarios. A business with many repetitive questions — a hair salon where 80% of enquiries say 'do you have a slot on Friday', an e-commerce store where clients ask 'where is my order', a restaurant with 'do you have parking'. A chatbot that answers these questions in 2 seconds at midnight is worth it. Second scenario: lead qualification. Instead of the sales team talking to every interested person, the chatbot asks 3-4 questions and only forwards those with the right needs and budget. Third: onboarding new clients or software users.
Cases where a chatbot clearly delivers ROI
When not to use a chatbot? When your differentiator is precisely personal communication — luxury boutiques, high-quality consulting services, medical practices where the patient wants to talk to a person. Then a chatbot signals 'you're not important enough for us to hire someone'. Second case: when you don't have clearly defined answers to questions. A chatbot is only as good as the information it has. A company that isn't sure itself what it offers at what price — a chatbot will only spread that confusion to clients.
Platforms in 2026: Tidio is popular for small businesses, has a free plan and simple website integration, costs from €30/month for AI functionality. Intercom is an enterprise solution, excellent but expensive (from €75/month). ManyChat specialises in Instagram and Facebook automation. Custom GPT solutions based on OpenAI API give the most flexibility but require technical implementation — cost ~$0.01-0.05 per conversation. For Serbian companies just starting out: Tidio or Crisp are solid starting choices without large financial risk.
When a chatbot does more harm than good
Implementation without chaos: Week one — write a list of the 20 most common questions you receive from clients (email, WhatsApp, phone). That is the foundation of the chatbot. Week two — write clear, short answers to each question. Week three — set up the chatbot in test mode, have a few colleagues or friends test it. Week four — only then go live, with a clear 'talk to a person' button for everything the chatbot can't solve.
